The car stops at the door. Handling takes it from there.

What happens at each step, from the car door to the aircraft and back. What to tell the team before the day. And the two rules worth checking early: pets, and the Electronic Travel Authorisation.

Departing, in five strips.

Each strip moves the drawing to where it happens. The drawing is illustrative: not to scale and not for navigation.

  1. The car door

Cars come to the terminal door. If you have booked the car park, the car stays in the secure car park while you are away, and there are electric vehicle chargers.

    Where

    Tell us
    Cars, drivers, parking
  2. The luggage

The handling team takes the luggage from the car to the aircraft. Nobody in your party carries it through the terminal.

    The handling team
    Tell us
    How much luggage
  3. The terminal

One lounge, with hot and cold drinks, light refreshments and Wi-Fi. Book the private room and your party does not share the lounge. No passenger names are shown on screens or boards.

    Where
    Lounge or private room
    Tell us

  4. Airside by car

With notice, and once security checks are done, your car can be escorted airside to the aircraft.

    Where
    Apron stand
    Tell us
The car, and that you want it
  5. The aircraft step

Departing passengers are usually through the terminal in a few minutes once the aircraft is ready. No figure is promised: the aircraft sets the time, not the terminal.

  1. The aircraft

  2. Customs and immigration

For international flights only. Border Force clearance is arranged on request through Operations, with at least 24 hours' notice where possible. Visitors who need an ETA must have it before they travel.

  4. Through the terminal, or not

Walk through the lounge, or, with notice and once security checks are done, have the car escorted airside to meet the aircraft.

    Tell us
Which you want, and the car
  5. The car door

Your car meets you at the terminal door. If you need one, the handling team arranges a car with a driver.

    Where
    Terminal door
    Tell us
Cars, drivers, where you are going

What to tell the team, and when.

Put it all in the handling request, at least 24 hours before arrival. If the operator sends the request, send these details to the operator, or to handling with the flight's date and the aircraft's registration.

The handling request does not ask for passport details. Do not send them with it.

  • How many passengers, not counting crew.

  • How many cars, whether a driver waits, whether you want the car escorted airside, and car park space.

  • Food and drink for the flight. Newspapers and flowers too. Handling orders them from local suppliers.

  • Whether you want the private room.

  • Anyone who would like help to board. The terminal is step-free from the car to the lounge.

  • Which animals, and where the flight comes from. See § 4 before you book.

  • That the flight is international, so Operations can arrange Border Force.

Two rules to check before anyone books.

Pets

Dogs, cats and ferrets are welcome on flights within the UK and from Ireland.

Ashlow is not an approved entry point for pets arriving from anywhere else. Pets entering Great Britain from outside the UK and Ireland must travel on an approved route with an approved carrier. Tell the team before you book and they will say which arrangements apply.

GOV.UK: travel routes for pets

Electronic Travel Authorisation (ETA)

Visitors from visa-exempt countries need an ETA before travelling to the UK. British and Irish citizens do not. Each person needs one, including children.

GOV.UK: apply for an ETA

Flying on a paid charter

Any paid flight that is not scheduled is commercial air transport. The operator must hold an Air Operator Certificate, and you are entitled to know the operator's name. The CAA explains how to check.
